The client
Qubit Labs is a data consultancy in King's Cross that takes on around eight new clients a month. Its team is small, technical and would rather spend time on client work than admin.
The challenge
Onboarding a client meant a chain of emails, a shared spreadsheet with dozens of columns, and contracts copied and pasted from old ones. Things slipped: invoices went out late, clients waited for access, and nobody was sure which step each client had reached.
What we built
One portal for every client
Each client gets a private portal with a clear checklist: sign the contract, pay the first invoice, share access. They can see exactly where they are, and so can the team.
- A Softr portal on top of Airtable, branded to match Qubit's website.
- Contracts generated from a template and sent for e-signature automatically.
- Zapier flows that raise the first invoice once a contract is signed, and post updates to Slack.
- Simple admin views so the team can change steps and wording without a developer.
Technology choices
No-code was the right fit: the process was clear, the volumes were modest and the team wanted to own it. Airtable holds the data, Softr gives clients a proper login, and Zapier connects the contract, invoicing and Slack tools Qubit already paid for.
The results
The portal went live in 12 days. Onboarding a client now takes about ten minutes of the team's time, saving 11 hours every week, with four tools finally talking to each other.
